We’re Hiring: Event Coordinator
We’re looking for an Event Coordinator to join our team and help deliver community events and beautification initiatives in Downtown Oakville this summer!
Requirements:

Must be between the ages of 15 to 30

Must be Canadian citizen, permanent resident, or persons with refugee protection

Must be available to work flexible hours, including evenings and weekends, on a Tuesday - Saturday schedule

Comfortable working outside, walking, and standing for long periods

Ability to lift and carry 50+ lb and perform physically demanding tasks

Comfortable working outdoors in various weather conditions

Strong organizational and problem-solving skills with the ability to adapt quickly on-site

Must be comfortable interacting and speaking with the public and Downtown Oakville businesses

Key Responsibilities: ​
Event Coordinating:
-
Execute on-site logistics for community events, including setup, takedown, and day-of coordination
-
Coordinate BIA member businesses, external vendors, performers, and partners on-site to ensure smooth event operations and timelines

Transport, set up, and manage event equipment (tents, tables, weights, signage, etc.)

Oversee event layout implementation, including placement of BIA member businesses, external vendors, equipment, and activation areas

Act as the primary on-the-ground coordinator to troubleshoot issues and ensure seamless event delivery

Support attendee flow, and general operations during events to maintain a safe and organized environment

Help promote events in advance by distributing promotional materials to BIA member businesses
-
Track attendance, gather event feedback from attendees and BIA member businesses via surveys, and assist with post-event reporting

Represent the BIA by engaging with visitors, providing information, and supporting a positive downtown experience
Beautification & Streetscape:
-
Maintain cleanliness and visual standards across the BIA, including litter pickup and monitoring public spaces

Conduct regular inspections of the area and report issues requiring maintenance or repair

Start Date: June 9th, 2026 End Date: August 29th, 2026 (12 weeks total)

Hours: 35 hours per week, Tuesday–Saturday. Schedule may vary based on operational needs

Pay: $20/hour
